STATEMENT REGARDING THE PROCESSING OF PERSONAL DATA ACCORDING TO REGULATION (EU) 2016/679 (“GDPR”)

 

Dear Candidate, 

herewith we provide you some information that you need to know, not only to comply with legal obligations, but also because transparency and fairness towards the data subjects is a founding part of this Public Administration.

Who is the Data Controller and the Data Protection Officer?

The Data Controller is ICE Agency – Italian Trade and Investment Agency, with registered office in via Liszt, 21 - 00144 Rome, Tel. 06 59921 (hereinafter ICE Agency).

What are the purposes of the processing of my personal data?

The processing of your personal data is carried out by the ICE Agency, in carrying out its activities for purposes related to the recruitment and selection of personnel in order to establish a possible employment relationship with the Agency.

Your data will be processed by electronic and non-electronic means, and the processing is based on the following legal basis:

  1. the execution of obligations strictly related to the recruitment / management of personnel, the provision of data for such activities is essential for the proper management of the contract / employment relationship, or the execution of pre-contractual measures taken upon request of the data subject (art. 6 point 1 letter "b");

Within the limits of the purposes and methods described in this statement, the following categories of data may be processed as personal identifiers (e.g. name, surname, date of birth, tax code), job position (e.g. role, task), telephone contacts, e-mail addresses, geographical position (e.g. residence, domicile, place of birth), education and culture (e.g. degrees, professional certifications).

The data subject shall not provide data that can be qualified as special data under EU Regulation 2016/679. In the event that the curriculum vitae in possession of ICE Agency still contains special data (e.g. data suitable for detecting membership in protected classes), the Agency will only process the data for the aforementioned purposes.

What safeguards do I have that my data will be processed with respect for my rights and personal freedoms?

The purpose of ICE Agency is to protect the personal data of candidates, binding their processing to the principles of fairness, lawfulness and transparency in accordance with the Regulation. Only personal data that are adapted, relevant and limited to what is necessary for the purposes for which they are collected and processed.

The data are processed by suitably qualified personnel of the Agency who act as authorized personnel to process the data, according to principles of fairness, lawfulness, transparency, relevance and no excess with respect to the purposes of the collection and subsequent processing.

The processing is carried out in such a way to ensure adequate security of personal data, by automated means, including confidentiality and protection, through technical and organizational measures aimed at preventing data loss, unlawful or incorrect use and unauthorized access.

Your personal data may also be processed via online software or cloud services located within the European Union, with respect for the rights and safeguards provided by the EU General Data Protection Regulation 679/2016 (GDPR).

Should your personal data be processed by cloud services located outside the European Economic Area, the ICE Agency ensures that the processing of your data will be based only on the institutional purposes of the Agency.

The data will not be used for purposes other than those described in this statement, unless previously informing you and where necessary obtaining your consent.

How long will you store my personal data for?

Your personal data are stored for a period consistent with the aforementioned purposes of processing and in compliance with all legal obligations.

Will you share my data with other parties?

For the aforesaid purposes, your data will not be communicated to any recipient.

What are my rights?

The data subject may at any time exercise his/her rights and in particular access his/her personal data, request its rectification or limitation, its updating if incomplete or incorrect, and its erasure if collected in breach of the law, as well as object to its processing without prejudice to the existence of legitimate grounds on the part of the Data Controller. The data subject shall have the right to receive the personal data concerning him or her, which he or she has provided to a controller, in a structured, commonly used and machine-readable format.

For this purpose, it is possible to contact the Data Controller or the Data Protection Officer.

Lastly, we inform you about the possibility of lodging a complaint with the Italian Supervisory Authority – Italian Data Protection Authority – Piazza Venezia n. 11 – 00187 Rome.
